Set up a client portal
The situation
Section titled “The situation”A client asks “where are we?” every week. You want them to look for themselves, see only their work, and never sign in.
The setup
Section titled “The setup”- In the client’s project, create a label for what the client may see. Call it
client-visible. If you use a board, map a column to that label so a drag makes a task visible. - Go to Portals > New portal. Name it after the client. Write the description the client will read on the Overview page.
- Scope: pick the client’s project and the
client-visiblelabel. - Sharing: Link + Passcode. Copy both.
- Publish.
- Apply the label to the tasks the client should see. Everything else stays hidden.
- Send the client the link and the passcode.
What the client sees
Section titled “What the client sees”An Overview with your description and a progress summary, a List of the visible tasks, and a Board. Titles, status, priority, due dates and assignees. Nothing from other projects and nothing without the label.
Rules of thumb
Section titled “Rules of thumb”- One portal per client. One label per portal, so a task cannot leak from one client to another.
- Regenerate the passcode when a client contact leaves.
- Unpublish instead of delete when a project pauses. The scope and label stay for when it resumes.
Portals need the Team or Pro plan.
